Example scenario · illustrative, not a real seller
An example vintage shop charges $5.00 for one item and $1.50 for each extra on its Small Flat profile. Two scarves cost the buyer $6.50, enough to cover a mailer that costs about $5.80 to post.

Most vintage shops need four profiles, not forty
Vintage stock is irregular: a silk scarf, a stoneware casserole and a wool coat might sell on the same day, and each needs different packing and postage. Setting shipping item by item is slow and error-prone. Setting one profile for everything means either overcharging small items or losing money on big ones.
Etsy's shipping profiles solve this, with one important rule: a listing can only be connected to one profile, and editing a profile changes every listing attached to it. This guide builds a small set of profiles for a vintage shop using Etsy's own steps, checked November 8, 2026.
How Etsy shipping profiles work
| Feature | What Etsy's help pages say |
|---|---|
| Profiles per listing | One shipping profile per listing |
| Editing a profile | Updates every listing it's applied to |
| Fixed prices | You enter prices manually: One item and Additional item rates |
| Calculated shipping | For US or Canada sellers shipping with USPS or Canada Post; you add weight and dimensions |
| International | "Everywhere Else" covers any country you haven't set; remove it to ship only to chosen places |
| Upgrades | Faster options buyers can pay more for; fixed upgrade prices add to the base rate |
| Variations | Don't have separate shipping costs |
How combined shipping is calculated
Etsy explains its combined-shipping method with fixed rates: it takes the most expensive One item price in the order, then adds each other item's Additional item price. Its example: Item A ($2.00 one item, $0.50 additional) and Item B ($1.00, $0.75) together cost $2.75.
That rule shapes how you set Additional item rates. In this chosen example, a vintage shop's Small Flat profile charges $5.00 for one item and $1.50 for each additional item. A buyer who orders two scarves pays $5.00 + $1.50 = $6.50. If both fit in one mailer that costs about $5.80 to post, the order covers its postage. If the additional rate were $0, the second scarf would ship at a loss.
Step 1: Group your stock by how it ships
Look at the last 30 items you sold or listed and sort them by packaging. In this example, four groups cover nearly everything:
| Profile name | Typical items | Packaging |
|---|---|---|
| Small Flat | Scarves, patches, paper ephemera | Poly or rigid mailer |
| Medium Soft | Sweaters, jackets, bags | Medium box or large mailer |
| Fragile Small | Glassware, ceramics under a few pounds | Box-in-box with padding |
| Large Quote | Furniture, lamps, oversized pieces | Quote on request |
Step 2: Create each profile
Following Etsy's "How to Set Up Shipping Information" steps on Etsy.com:
- Go to Shipping settings.
- Under Shipping profiles, select Create profile.
- Choose fixed prices manually, or calculated shipping if you ship with USPS and want Etsy to calculate the rate from weight and dimensions.
- Enter the origin country and ZIP code.
- Choose the processing time, meaning how long you take to prepare and ship.
- Choose the shipping service.
- For domestic orders, choose Free shipping or Fixed price with One item and Additional item amounts.
- Set international rates or remove "Everywhere Else".
- Add upgrades if you want to offer faster shipping.
- Name and save the profile.
Step 3: Decide fixed or calculated for each profile
Calculated shipping suits items whose weight and size vary a lot within a group, because Etsy prices each order from the dimensions you enter. Etsy notes that you can't set discounted combined rates for calculated listings, since the cost of shipping several items is calculated for you. Fixed rates suit the Small Flat group, where most items cost about the same to post.
Heavy items: Etsy suggests that for very heavy items like furniture, you mention that shipping varies and ask buyers to contact you for a quote, then create a custom listing. That's the Large Quote profile above.
Step 4: Check international settings
Etsy warns that if "Everywhere Else" is left on, the listing ships worldwide. If you don't want international orders on fragile vintage, remove it from the Fragile Small profile specifically. Etsy also notes that listings without a profile are a common cause of orders arriving from places you didn't mean to ship to, and you can filter listings by "No Shipping Profile" to find them.
Step 5: Test one order of each type
Before relying on a profile, price a sample order: one item, two items from the same profile, and two items from different profiles. Compare the buyer's shipping charge with what you would actually pay for the label and packaging. The packing fit tool helps estimate box sizes, and the packed box before price manual explains why to weigh the packed parcel, not the item.
Step 6: Edit carefully
Because edits apply to every attached listing, change one profile at a time and note the date. A quick spreadsheet line, "Medium Soft: one item $9.50 → $10.25, Nov 8", tells you later why sales changed.
Common mistakes
- Setting the Additional item rate to zero on profiles where items rarely share a box.
- Leaving "Everywhere Else" on for fragile goods.
- Using one variation listing for items of very different weights.
- Editing a profile without realizing how many listings it controls.
- Forgetting that Etsy's fees apply to shipping too, as the Etsy fees guide shows.
Build the profiles once
A handful of well-tested shipping profiles does more for a vintage shop's margins than any amount of item-by-item adjustment. Group by packaging, test a few orders, and let the profiles do the arithmetic.

Practical questions
Can a listing have more than one shipping profile?
No. Etsy says a listing can only be connected to one shipping profile.
What happens when I edit a profile?
Etsy says the change updates every listing the profile is applied to.
How does Etsy combine shipping on fixed rates?
Etsy takes the most expensive One item price in the order and adds each other item's Additional item price. Its example totals $2.75 for $2.00 and $0.75.
