Example scenario · illustrative, not a real seller
An example solo seller can describe packing a fragile order perfectly, but writing it down reveals half the steps live only in their head.
What you’ll get
- Which tasks deserve an SOP.
- The outside rules each SOP should reflect.
- A one-page SOP format.
- A complete packing SOP for soft goods.
- A five-SOP starter set.
Every parcel packed a slightly different way
Ask a solo reseller how they pack a fragile order and they'll describe it perfectly. Ask them to write it down and they'll realize half the steps live only in their head: which box size, how much padding, when to photograph, where the packing slip goes. That's fine until a busy week, a helper starts, or the seller is sick and someone else has to ship. A standard operating procedure, or SOP, is a short written checklist for one repeated task, written so someone else could do it the same way.
This guide covers writing reselling standard operating procedures, drawing on eBay's Seller Center listing guidance, eBay's handling time rules, UPS packaging tips and EPA battery guidance, checked November 8, 2026, as the outside rules your SOPs should reflect.
Which tasks deserve an SOP
Write SOPs for tasks you repeat often, tasks where mistakes are costly, and tasks someone else might do.
| Task | Outside rule the SOP should reflect |
|---|---|
| Listing an item | eBay's Seller Center lists five steps: title, photos and video, item specifics, detailed description, competitive price |
| Packing fragile items | UPS recommends the two-box method for sharp or fragile goods |
| Shipping on time | eBay measures handling time in business days from payment to carrier scan |
| Handling loose batteries | EPA says to bag batteries separately and tape terminals |
| Processing returns | Your platform's return rules |
Step 1: Start with one task
Pick the task that causes the most mistakes or takes the most time. Don't write a manual for the whole business at once. One good SOP that gets used beats ten that sit in a folder.
Step 2: Do the task and write as you go
Do the task once, slowly, writing each step as a short instruction that starts with a verb: "Weigh", "Photograph", "Tape". Note the materials you reach for and where they live.
Step 3: Keep it short and checkable
A good SOP fits on one page:
- A title and the date it was last updated.
- When to use it.
- Materials needed.
- Numbered steps, each one action.
- A final check.
- What to do if something goes wrong.
Use plain language, short sentences and numbered lists, so the steps are easy to scan while working.
Step 4: Test it on someone else
Hand the SOP to someone who hasn't done the task and watch them follow it without help. Every question they ask is a missing step. Add it.
Step 5: Put it where the work happens
Print the packing SOP and stick it at the packing station. Keep listing SOPs open on the listing computer. A procedure in a drawer won't be followed.
Step 6: Review when something changes
Update an SOP when a platform changes a rule, when you change supplies, or when a mistake shows a gap. Put the date of the last review at the top. Platforms update help pages often, so a quarterly review of the outside rules each SOP relies on is sensible.
Worked example: a packing SOP for soft goods
This chosen example shows a complete one-page SOP.
| # | Step |
|---|---|
| 1 | Take the item from the sold bin and check the SKU against the order |
| 2 | Check size, color and condition notes against the listing |
| 3 | Fold the item and place it in a clear protective bag |
| 4 | Put it in a poly mailer sized so it doesn't slide |
| 5 | Add the packing slip with the order number and SKU |
| 6 | Photograph the open mailer with item and slip visible |
| 7 | Seal, weigh and enter weight and size in the label tool |
| 8 | Attach the label flat on the largest side |
| 9 | Mark the order shipped and move the parcel to the outgoing bin |
| Check | Is the parcel scanned before the handling time ends? |
The fragile version adds the two-box steps from the fragile items guide, and the weighing step follows the shipping scale guide.
SOPs make help possible
When you bring in help, SOPs are how quality stays the same. They also make it clear what the work involves, which matters for the questions covered in the hiring help guide. Keep SOPs free of passwords and personal data.
Measure whether they work
Track a simple signal for each SOP: packing mistakes per month, late shipments, listings returned for missing details. If the number doesn't improve, the SOP needs work or isn't being followed.
Not a straitjacket: An SOP describes the normal way. When an item doesn't fit, such as an oversized lamp, it's fine to stop and decide, then add a note to the SOP for next time.
A starter set
Many resellers find these five SOPs cover most of the week:
- Intake and SKU tagging, using the SKU guide.
- Photographing a standard item.
- Listing a standard item.
- Packing soft goods and packing fragile goods.
- Handling a return.
Common mistakes
- Writing SOPs nobody can find at the work station.
- Long paragraphs instead of numbered steps.
- Never testing them on someone else.
- Letting them go out of date after a platform change.
- Including passwords or buyer information.
Write it so someone else can do it
If a person who has never packed for you can follow the page and ship the parcel correctly, the SOP works. Start with one task, write steps as verbs, test it on someone else, and keep it at the station.

Practical questions
What is an SOP in reselling?
A short written checklist for one repeated task, written so someone else could do it the same way.
Which outside rules should a packing SOP reflect?
For fragile goods, UPS recommends the two-box method; for loose batteries, the EPA says to bag them and tape terminals; and handling time sets the ship-by deadline.
What should a listing SOP include?
eBay's Seller Center lists five steps: title, photos and video, item specifics, a detailed description and a competitive price.
How do I know an SOP works?
Someone new can follow it without help, and a simple signal, such as packing mistakes per month, improves.
