The return arrives different: document before you accuse

A calm, evidence-first return workflow with official case procedures, safe inspection and a corrected cost ledger.

Example scenario · illustrative, not a real seller

The returned item has a mark you do not remember. Open the actual case and compare evidence before deciding what happened or withholding money.

What you’ll get

  • A return workflow based on observations and current rules
  • A labelled worked example, a visual process and an editable receipt-to-surplus scratchpad.
  • A device-only action checklist and one next move: Record one factual difference privately

A changed condition is an observation. Intent is a separate question.

A return is a new evidence task, not proof of wrongdoing. An item may be damaged, mistaken, incomplete or simply not as the buyer expected. Work through the actual case without turning an assumption into an accusation or missing a response deadline.

Start in the official case

Open the marketplace directly and read the return reason, required actions and deadlines shown for the transaction. Do not manage a case from an email link or a side-channel demand. Save relevant messages and order records privately.

The eBay official seller-return page distinguishes change-of-mind requests from damaged, faulty or not-as-described claims. It explains that a listing saying no returns does not prevent the latter obligations. Do not use a general “no returns” sentence as a complete description of your responsibilities.

Prepare to inspect without creating another hazard

Keep the returned item out of available inventory. Examine the package and contents in an appropriate place. If there is a damaged battery, leaking substance or other hazard, stop and follow relevant official handling instructions instead of powering it on or sending it again.

Record visible facts: package condition, contents, missing parts and differences from your dispatch records. Product identifiers may be useful privately; do not publish a buyer’s address or case details. A photo is evidence of what it shows, not proof of every event during transit.

Compare specific observations

“Different scratch on the lower corner than dispatch photo 4” is more useful than “buyer scam.” Check whether your own listing, packing or item-selection process could explain the problem. Keep uncertainty explicit when records do not establish what happened.

Do not claim that an unboxing video guarantees a dispute decision. Follow the platform’s permitted evidence channels and current case options. The outcome depends on facts and rules this guide cannot assess.

Use deductions only when the rules permit them

eBay describes circumstances in which qualifying sellers may deduct for loss in value when an item is returned used or damaged. That is conditional eligibility, not permission to choose a penalty or refuse a refund based on suspicion.

Read the specific case guidance and seek the official support route when uncertain. Respond before the actual displayed deadline; the site’s checklist does not calculate or monitor it. Never pressure a buyer into an inaccurate reason code or an off-platform arrangement.

Close the cost and stock loops

An illustrative return can add $9 postage and $3 packaging or preparation costs to a previously attractive transaction. Enter actual charges and fee credits once known; do not assume every fee is refunded or invent a standard return percentage.

Inspect and describe the actual returned condition before any lawful relisting. Update the stock record, photos, costs and relevant recall check. Finally ask whether the first listing, test or packing method should change. A useful review can uncover your own process problem without deciding anyone acted dishonestly.

Worked example · hypothetical, not a real seller

A return workflow based on observations and current rules

A deliberately chosen planning example for this decision. It is not a real transaction, a product appraisal, an observed market result or permission to sell. Replace the inputs only after the relevant checks.

$60.00 receipts − $14.00 withheld costs = $46.00 transferred in this simplified ledger. Subtract $38.00 of acquisition and other separately paid costs once: $8.00 before income tax. Do not deduct withheld costs twice. This is not a tax-reporting or inventory-valuation calculation.

Receipt-to-surplus scratchpad

$60.00 receipts − $14.00 withheld costs = $46.00 transferred in this simplified ledger. Subtract $38.00 of acquisition and other separately paid costs once: $8.00 before income tax. Do not deduct withheld costs twice. This is not a tax-reporting or inventory-valuation calculation.

Illustrative inputs, not market benchmarks or an achieved outcome. Scratchpad values stay in tab memory, not saved by this application. Reload to reset.

With JavaScript and browser storage, only checked-step IDs can stay on this device. No buyer details or amounts are saved.

Can I automatically deduct money from a refund because I suspect misuse?

No. Eligibility and procedure depend on the platform’s rules, the case and applicable law. eBay describes conditional deductions for qualifying situations, not a general right to withhold money. Use the official case process and current instructions.

Do this next · one concrete move

Record one factual difference privately

Compare dispatch evidence with the returned item, check the platform’s current options and displayed deadlines, and use official channels. Do not invent a deduction or publish buyer details.
